Who This Policy Applies To

This Privacy Policy applies to:

  • Visitors to localreputationtool.com
  • Businesses and individuals who create an account or use our Services ("Subscribers")
  • Individuals whose information is submitted to our platform by Subscribers for review requests, feedback requests, follow-up messages, or related customer communications ("End Customers")

Subscribers generally determine which End Customer information is submitted to the platform, why it is processed, and which communications are sent. In that context, Local Reputation Tool processes End Customer information on the Subscriber's behalf for the purpose of providing the Services.

If you are an End Customer who received an email or SMS from a business using our platform, your information was provided or connected to the platform by that business. Please contact the business identified in the message if you have questions about how it obtained your information, why it contacted you, or how to exercise rights relating to its records.


Information We Collect

Information you give us directly

Contact forms and inquiries. When you contact us, request information, or submit a form, we may collect your name, email address, phone number, business information, and the content of your message. We use this information to respond to your inquiry and provide requested information.

Account registration. When you create an account, we may collect your name, email address, password, business name, business contact information, account preferences, and other information needed to create and manage your account and provide the Services.

Billing information. When you purchase a subscription or service, our payment processor collects the information needed to process your payment. We do not directly store your complete payment card details.

Customer data submitted by Subscribers. Subscribers may upload, enter, import, synchronize, or otherwise provide information about their End Customers, including names, email addresses, phone numbers, transaction or service details, communication preferences, and related information.

We process this information solely to provide the Services requested by the Subscriber, such as delivering review requests, feedback requests, follow-up reminders, and related service communications; recording delivery and engagement activity; managing opt-out preferences; generating reports; and supporting the Subscriber's reputation-management activities.

We do not sell End Customer information or use it to independently market Local Reputation Tool directly to a Subscriber's customers.

Subscriber responsibility: Subscribers may only provide contact information for individuals they are legally permitted to contact. Subscribers are responsible for establishing an appropriate legal basis for each communication, providing any required notices, honoring applicable opt-out requests, and complying with applicable privacy, consumer-protection, and electronic-communications laws.

Information we collect automatically

Log and device data. When you visit our website or use the Services, our systems and service providers may automatically collect information such as your IP address, browser type and version, device type, operating system, referring website, pages or features used, dates and times of access, and diagnostic or security information. We use this information to operate, secure, troubleshoot, and improve our website and Services.

Google Analytics. We use Google Analytics to understand how visitors interact with our website.   • Provide, operate, support, secure, and improve our website and Services
  • Send review requests, feedback requests, follow-up reminders, and related customer communications on behalf of Subscribers
  • Deliver account notifications, verification messages, password-reset emails, service notices, reputation reports, billing communications, and support messages
  • Monitor message delivery, bounces, complaints, suppression status, and other communication activity
  • Maintain opt-out and suppression records and help prevent unwanted or unauthorized communications
  • Connect, display, organize, analyze, and report online reviews and customer feedback
  • Provide review-management, automation, artificial-intelligence, reporting, and website-widget features
  • Respond to inquiries, requests, complaints, and support needs
  • Process subscription and service payments through our payment processor
  • Send marketing communications about our own Services when permitted by law
  • Monitor and analyze website and product usage
  • Detect, investigate, and prevent spam, fraud, abuse, security incidents, and violations of our agreements

Subscriber Email and Messaging Use

Local Reputation Tool is designed primarily to help businesses communicate with their existing customers and other recipients whom they have a lawful basis to contact. Typical messages sent through the Services may include:

  • Requests for a review following a purchase, appointment, or completed service
  • Customer feedback requests
  • Follow-up reminders related to an earlier review or feedback request
  • Messages related to an existing customer relationship
  • Account, reputation, delivery, and service notifications

Subscribers may not use the Services to send unsolicited bulk email, cold-email campaigns, or messages to purchased, rented, scraped, harvested, or improperly obtained contact lists. Subscribers must comply with our Terms of Service, applicable provider policies, and all applicable laws and industry requirements.

Where legally required, Subscribers must obtain consent before sending a message and must provide recipients with an effective way to opt out. Local Reputation Tool may maintain suppression records to help prevent messages from being sent to recipients who have unsubscribed, complained, or otherwise indicated that they do not wish to receive further communications.

Because Subscribers control their recipient lists and message content, questions about a particular review request or other customer communication should generally be directed to the business identified as the sender.


Our Marketing Emails and Drip Campaigns

If you submit your email address through our website, free reputation audit, trial signup, contact form, or another signup process, we may send you follow-up information about Local Reputation Tool and related services when permitted by law. Our marketing communications may be delivered through Brevo or another email service provider.

You can opt out of our marketing emails at any time by clicking the unsubscribe link in the message or contacting us. Opting out of marketing communications will not prevent us from sending transactional or service-related messages that are necessary to administer your account, process payments, respond to requests, maintain security, or provide the Services.

This section concerns marketing emails sent by Local Reputation Tool about its own products and services. Emails sent by Subscribers to their End Customers are governed by the Subscriber's own relationship with the recipient, the Subscriber's privacy practices, our Terms of Service, and applicable law.


How We Share Your Information

We do not sell your personal information. We may disclose information in the following limited circumstances:

Service providers

We share information with third-party service providers that help us operate our business, host and secure the platform, process payments, deliver communications, provide review-management features, analyze website activity, and support the Services. These providers process information for the services they provide to us and are subject to their own contractual and legal obligations.

Our current service providers may include:

  • EmbedMyReviews — platform infrastructure and review-management technology. Privacy Policy
  • Twilio SendGrid — transactional email delivery, including review requests, follow-up messages, account notifications, reputation reports, and related delivery services. Privacy Information
  • Stripe — payment processing. Payment information is processed directly by Stripe, and we do not store complete payment card details. Privacy Policy

The service providers we use may change as our business and technology evolve. We may update this Privacy Policy to reflect material changes to the categories of providers that process personal information on our behalf.

At the direction of Subscribers

We may share or transmit information when a Subscriber directs us to do so, such as when the Subscriber connects a Google, Microsoft, social-media, review-platform, customer-management, automation, or other third-party account to the Services. Information shared with those third parties is subject to their respective terms and privacy practices.

Legal requirements and protection of rights

We may disclose information when required by law, subpoena, court order, or governmental request, or when we reasonably believe disclosure is necessary to investigate or prevent fraud, spam, abuse, security threats, illegal conduct, violations of our agreements, or harm to Local Reputation Tool, our Subscribers, End Customers, service providers, or the public.

Business transfers

If Local Reputation Tool or Web Design by Daniel Sanchez is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar business transaction, information may be disclosed or transferred as part of that transaction, subject to applicable law.


Data Retention

We retain personal information for as long as reasonably necessary to provide the Services, maintain accounts, complete transactions, comply with legal and contractual obligations, resolve disputes, protect the platform, prevent fraud and abuse, and enforce our agreements.

Customer data submitted by Subscribers may be retained while the Subscriber's account is active and for a reasonable period afterward, unless a longer period is required or permitted for legal, security, fraud-prevention, backup, or dispute-resolution purposes.

Subscribers may request deletion of customer data associated with their accounts by contacting us. End Customers may also contact the Subscriber that provided their information. We may need to retain limited suppression, opt-out, complaint, security, billing, or audit records even after other information is deleted.

Analytics and log-data retention periods may vary depending on our settings, service providers, security requirements, and legal obligations.


Data Security

We use reasonable administrative, technical, and organizational safeguards intended to protect personal information against unauthorized access, destruction, loss, alteration, disclosure, or misuse. Our website uses SSL/TLS encryption for information transmitted between supported browsers and our servers.

Subscribers are responsible for maintaining the confidentiality of their login credentials, limiting account access to authorized users, using secure passwords, and promptly notifying us of suspected unauthorized access.

No method of internet transmission or electronic storage is completely secure. Although we work to protect personal information, we cannot guarantee absolute security. If we become aware of a data breach affecting personal information, we will provide notifications when required by applicable law.

You may designate an authorized agent to submit a request on your behalf. We may request documentation confirming the agent's authority and may require you to verify your identity directly with us.

If your request concerns information that a Subscriber submitted about you, we may direct you to that Subscriber or assist the Subscriber in responding to your request, as appropriate.


Your General Privacy Choices

Depending on your location and applicable law, you may have the right to:

  • Access — request information about or a copy of personal information we maintain about you
  • Correction — request correction of inaccurate personal information
  • Deletion — request deletion of certain personal information
  • Opt out of marketing — unsubscribe from our marketing emails at any time
  • Withdraw consent — withdraw consent where our processing is based on consent
  • Data portability — request certain information in a portable format where required by law
  • Object or restrict processing — object to or request restriction of certain processing where applicable

If we process your information solely on behalf of a Subscriber, the Subscriber may be responsible for responding to your request. In that situation, we may direct you to the appropriate Subscriber or assist the Subscriber as required by our agreement and applicable law.


Email Opt-Outs and Complaints

If you receive a review request or other email sent through Local Reputation Tool, you may use any unsubscribe or opt-out method included in the message or contact the business identified as the sender.

You may also report an unwanted or abusive message to us at hello@localreputationtool.com. Please include enough information for us to identify the sender and message. We may investigate the report, add an address to a suppression list, restrict sending activity, suspend an account, or take other appropriate action.


Children's Privacy

Our Services are intended for businesses and are not directed to children under the age of 13. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information to us, please contact us so we can review and, where appropriate, delete it.


Third-Party Links and Integrations

Our website and Services may contain links to or integrations with third-party websites, platforms, and services. We are not responsible for the privacy, security, or data-handling practices of those third parties.
